How to Prepare for a Commercial Cleaning Walkthrough

A commercial cleaning walkthrough is your chance to show a provider how the building operates. The most useful conversations happen beside the surfaces, rooms, and storage areas involved. Prepare a short brief in advance so the visit produces a clear scope rather than a price based on assumptions.

Gather commercial cleaning walkthrough details

Bring a floor plan if one is available, the approximate area to be cleaned, opening hours, and typical attendance. Identify the number of restrooms and break areas. Explain whether visitors, multiple shifts, or shared tenants change how the space is used.

If your floor area is only an estimate, say so. Ask the provider to confirm the areas included in the proposal. A total building measurement may include storage or leased areas outside your cleaning agreement.

Walk the normal route through the building

Start at the entrance and follow the route visitors and staff use. Point out reception, meeting rooms, workspaces, kitchens, and restrooms. Show less obvious areas that still belong in the scope, such as a rear stairwell or secondary entrance.

Describe existing problems with specific examples. “The conference room needs to be ready before 8 a.m.” gives a clearer direction than “we need better cleaning.” Note any condition that may require a separate project or a maintenance repair.

Explain restrictions and preparation

  • Show the agreed access point and available parking.
  • Identify rooms requiring an escort or separate permission.
  • Explain which desks and counters will be cleared.
  • Point out delicate finishes and equipment restrictions.
  • Identify approved storage space and water access.
  • Agree on a secure process for access credentials.

Discuss these details without placing alarm codes or passwords in a general checklist. Share sensitive access information only through the process agreed with the selected provider.

Ask about the working arrangement

Clarify preferred service times, supplies, periodic tasks, and how extra work is requested. Ask who will receive reports and who can authorize changes. If several people manage the property, choose one person to consolidate instructions before they reach the cleaning team.

Take notes on unresolved items. For example, a floor-care method may need confirmation after checking the finish manufacturer's instructions. Leave it marked as pending instead of assuming it is included.

Review the proposal against the visit

After the walkthrough, compare the written scope with your notes room by room. Check that special timing, exclusions, and supply responsibilities appear in the proposal. Request revisions where the wording is unclear.

Keep the final version available for the first service review. It becomes a shared reference when discussing results or adjusting the schedule.
